This guide helps you add a new set of reward codes to your live or previously running experiments from the Reward email notification. You'll do this when you receive an email notifying you that your rewards are running low, have expired, or are about to expire, to understand why you have received this notification please see this guide here.
You might be curious about the need to supply fresh rewards for an experiment that seems to have concluded. The reason for this lies in the fact that every experiment includes a phase where existing customers can continue to share the offer with others, even after adjustments have been made to the initial offer. This allows for the introduction of new customers through referrals during this phase, who can then access a welcome reward. Therefore, it's crucial to maintain a sufficient supply of 'active' rewards to guarantee an optimal experience for your customers.
Note: Only users with Marketing or Administrator access can upload new codes
To access the 'Upload a new batch' of reward codes via the Reward email notification:
1. The reward email notification will highlight which of your experiments needs additional rewards and the reason why.
Voucher Status Reasons:
- Critical - Our voucher supply is critically low and we're on the verge of depletion.
- Run Out - Our stock of vouchers has been fully exhausted.
- Expiring - It’s important to differentiate this from the expiration of vouchers within your internal system and within the Mention Me system. This refers to the timeframe during which customers can use their vouchers after receiving them. You can read more about this here.
- Expired - We have entered the promised usage period, and as such, new vouchers cannot be distributed, preventing your customers from utilising their full reward period.
2. Within the email you'll find two 'Add vouchers now' options.
- The big buttons above and below the list of rewards will take you to the Content section in the platform and will show you a filtered view of all Good & Expiring rewards.
- The smaller button under each reward will take you to the Content section in the platform and will show you a filtered view of that specific reward only. We would recommend using this method when uploading your new vouchers.
3. Once you find the intended reward, click on 'Add vouchers' and then 'Upload a new batch.'
To upload your new vouchers:
1. Once you have identified which reward needs new codes, click 'Add vouchers' and then 'Upload a new batch' to start the upload process.
2. In this process, set basic details like:
- Code validity: when codes begin and end (if applicable).
Note: Code validity doesn't affect active offer durations but specifies how long a code stays valid in our system for distribution. Make sure the code's duration aligns with your program's validity periods for them to work correctly once uploaded. If your CRM system needs an end date, setting validity for at least a year from the upload day is advised, preferably longer. Read more about voucher validity for details here.
- Code usage: choose if codes are single-use or have multiple uses.
- File naming: make it descriptive and relevant.
We would recommend the following setup:
- Your codes are valid for at least 1 year from creation
- Your codes are single-use
- Your codes are non-stackable (cannot be combined with other codes or promotions)
- Your codes are redeemable only by existing customers (for referrer vouchers) or by new customers (for referee vouchers).
Note: Ensure settings in Mention Me match your CRM system; changes here won't affect your CRM setup.
3. Review your code settings.
4. Drag and drop a file from your desktop or select a file.
5. The file should have a 'Reward Code' header. You can download a sample CSV to ensure correct formatting. Successful mapping shows a sample from the file.
6. Confirm testing of new codes for correct rewards and validity.
7. Press 'Upload'—a warning appears. Proceed if satisfied, or review before continuing.
8. The platform shows an upload progress bar, confirming if the upload was successful for all codes.
9. Choose to complete the upload or add another file.
