This guide outlines what happens should your business formally discontinue services with us. Our goal is to make this process as transparent and respectful of your data as possible.
Final Billing
Once your account is closed following our Churn Process, all billing activity will stop as of the Billing End Date. This date marks the end of your financial obligations with us.
- Your final invoice will be generated based on all activity up to this date.
- After settlement, no further charges will be incurred.
Account Access
Once services have ended, all user access to your Mention Me account will be removed. This includes administrative, reporting, and partner access rights.
Users will no longer be able to log in or view any data, ensuring your company’s information is securely locked down.
Data Privacy and PII Removal
Protecting customer data is a top priority for us. As part of our commitment to data protection and compliance obligations, we follow a structured process for data removal:
- We retain data for a buffer period of one month after the billing end date to account for any final queries or reporting needs.
- After this period, all personally identifiable information (PII) linked to your customers is permanently removed from our platform.
- To prevent continued data transmission, we enforce a name change on the account, which breaks any remaining technical integrations.
Once this process is complete, data recovery will not be possible.
Removal of Tags & Data Integrations (Your Responsibility)
In order to stop sending customer data to Mention Me, it's important that all Mention Me tags and integrations are removed from your site. Below are common places where Mention Me tags may exist in your customer journey:
- landingpage – Found on promotional pages (e.g., URLs ending in /refer-a-friend, /refer, or /mention-me). This displays an embedded iframe with a referral offer.
- checkout – Typically located on your checkout page, basket/cart page, or side/mini cart. This tag invites customers to indicate if they've been referred and triggers a referral overlay with a short form.
- postpurchase – Fires on your order confirmation page. This tag communicates customer and transaction data back to Mention Me. It must be removed to ensure no ongoing data transmission.
- dashboard – If implemented, this is located within the customer account section and displays a referral dashboard where users can track rewards and share offers.
We recommend that your development team review and remove all Mention Me code integrations to prevent any further data sharing post-termination. If you need assistance identifying tags, our team is happy to help during your offboarding period.
Platform Access & Legacy Data
Approximately one month after your billing ends:
- You will no longer be able to access the Mention Me platform.
- Features and integrations will be disabled.
- In some cases, campaign structure and performance summaries (non-personal data) may be retained to simplify reactivation if you choose to return in the future.
If you prefer for us to delete this information as well, we can do so on request.
Long-Term Data Storage
To support system performance and data management best practices:
- Daily and weekly performance data will be deleted 12 months after your billing end date.
- Aggregated monthly performance summaries may be retained for reference, should you wish to return.
